Welcome... to The BIG Event Trade Fair Exhibitors' Guide -- the source for exhibitor information on the Massachusetts Association of Insurance Agents Trade Fair! We're pleased that you are interested in exhibiting at The BIG Event Trade Fair.

The show will run from Friday, November 4 to Saturday, November 5, 2011. Our members always look forward to this annual event because of the quality and quantity of exhibits. As a result, this show will continue to grow and entire agencies will be bringing in their Customer Service Account Reps for . . . Appreciation Saturday, November 5th!

Again, this year we will be providing an Exhibitors' Lounge that will be open as a special place for you to check in, get your name badges and information. If you choose to pre-purchase the Full Convention Registration package (includes ALL food & drink tickets) at the discount price of $160.00 per person, you may pick them up in the Exhibitors' Lounge. Don't forget...the Exhibitors' Lounge is your place to re-energize with a cup of coffee or cold soda.

Q. What is The BIG Event Trade Fair?
A. The Massachusetts Association of Insurance Agents Annual Convention and Trade Fair is The BIG Event for independent insurance agents in Massachusetts.

Q. Who are the Massachusetts Insurance Agents and how many attend?
A. The Massachusetts Insurance Agents are independent insurance agents -- small business people -- who belong to a professional trade association and who run their independent insurance agencies as authorized agents of insurance companies. Approximately 1,800 professional independent insurance agents and customer service account reps. attend the Massachusetts Association of Insurance Agents Annual Convention and Trade Fair. Insurance company reps. from the 60+ sponsoring companies are also in attendance at The BIG Event to meet and entertain the agents.

Q. When is The BIG Event Trade Fair?
A. The BIG Event Trade Fair is Friday, November 4 & Saturday, November 5, 2011.

Q. What is the location and hours of The BIG Event Trade Fair?
A. The BIG Event Trade Fair is held at the Marriott Hotel, Copley Place, 110 Huntington Ave, Boston, MA 02116.

The BIG Event Trade Fair will be OPEN to the public from:

Friday, November 4, 2011 from 8:00 a.m. to 1:00 p.m.

and

Saturday, November 5, 2011 from 9:00 a.m. to 2:00 p.m.

When are exhibitors allowed to set up their booths?

A. Exhibitors will be allowed to set up their booths on Thursday, November 3, 2011 from 4:00 to 7:00 p.m. and on Friday, November 4, 2011 from 7:00 to 8:00 a.m.

Q. When are exhibitors allowed to dismantle their booths?
A. All Exhibitors MUST KEEP their booths OPEN during the hours that The BIG Event Trade Fair is open to the public on Friday, November 4, 2011 from 8:00 a.m. to 1:00 p.m. and Saturday, November 5, 2011 from 9:00 a.m. to 2:00 p.m.
Exhibitors will not be allowed to dismantle their booths until Saturday, November 5, 2011 at 2:00 p.m. If you fail to stay for the duration of the Trade Fair, you will not receive your $100 rebate voucher and you will not be invited back to the show.


Q. What is the cost for a booth at The BIG Event Trade Fair?

A. The cost to exhibit at The BIG Event Trade Fair is $875.00 per booth. Stay for the entire Trade Fair and receive a $100 rebate voucher; otherwise, you forfeit the $100 and you will not be asked back.

A. You will get...
  • Booth Space....DOES NOT INCLUDE TABLE & CHAIRS OR ELECTRICITY
  • Standard Booth ID sign
  • Access to the Exhibitors' Lounge
  • 5 guest passes by request
  • Exhibit Hall Security Guard Service
  • Unlimited number of pre-registered booth workers

  • Attendee Listing by email upon request
  • Participation in our virtual Trade Fair at massagent.com® with linkage to your website
  • Listing in The BIG Event promotional material that we email
  • Description of your company in the Official Convention Program Book

Q. What informational email can I expect to receive from you?
A. You will receive…

1. A request for a brief description of your company's product/service.

NEW this year...we are offering the opportunity for exhibitors to link to a Video Message for FREE! Video adds a personal touch to your company description. To utilize this opportunity:
  • First, create a short video message using a digital video camera. We suggest a short message, under 2 minutes in length that tells viewers a little bit about your company or welcomes Big Event attendees to visit your booth. You may wish to record a new message for this purpose or use an existing video made by your company.

  • Second, upload that video file to YouTube. You will have to create or use an existing YouTube account. Or place the video on your website.

  • Third, submit the link to that video to Sheron and she will add the video to the Exhibitor List on the web.

2. A request for your booth workers' names so I can pre-register them.

3. The Marriott Hotel Registration Link if you need to reserve a room.

4. Program Ad Order Link so you can place an ad in the Convention Program e-Book.

5. Program Schedule Link and Directions Link.

6. An informational emailing from Brede Exposition one month before The BIG Event including links to:

  • Furniture Order so you can order your table(s) & chair(s) from Brede Exposition Services. THE BOOTH IS NOT FURNISHED.
  • Electrical Service Order
  • Dedicated Telephone Line Order
  • Information on shipping & handling of your booth.

7. Starting in October and BY EMAIL REQUEST to sgagnon@massagent.com, we will email you list of current pre-registrants for The BIG Event.

We do specific emailings to the membership.

IT'S VERY IMPORTANT THAT YOU PROVIDE US WITH A COMPLETE & CONCISE DESCRIPTION OF YOUR COMPANY'S PRODUCT/SERVICE.

We have the Convention Program e-Book avialable on a huge touch screen in the center of the conference registration area. Long after the convention is over, all MAIA members and the convention attendees may refer to this valuable resource!
